1. Who is responsible
The data controller is OLAVIA TOV (ТОВ «ОЛАВІА»), a limited liability company registered in Ukraine on 07.10.2009 under certificate № 291084, DUNS 365268133, EDRPOU 36683318, with its registered office at 56, kv. 592, Kharkivske shose, Kyiv, 02091, Ukraine. 2. Scope
This statement covers personal data that OLAVIA TOV processes through the olavia.store website and the email correspondence that follows a trade enquiry. As a wholesale, business-to-business distributor, our contact is primarily with company representatives rather than consumers.
3. What data we process
We process only the data needed to respond to and manage a wholesale relationship:
- Enquiry details you choose to send us — company name, contact name, email address, product groups of interest and the content of your message.
- Trade correspondence — the emails, orders and documents exchanged while quoting, agreeing and dispatching a wholesale order.
- Basic technical data that any web server records when a page is requested, such as an IP address and browser type, used to keep the site available and secure.
The website does not run advertising trackers, and its contact form does not submit to a server — it opens your own email application with the details prefilled, so a message only leaves your device when you send it yourself.
4. Why we process it and on what basis
We use personal data for clearly defined purposes:
- To answer enquiries and provide quotes — on the basis of taking steps at your request before entering into a contract.
- To fulfil and administer wholesale orders — on the basis of performing our contract with your business.
- To meet accounting and legal obligations — on the basis of compliance with Ukrainian law.
- To keep the website secure and working — on the basis of our legitimate interest in operating the site safely.
5. Sharing
We do not sell personal data. We share it only where it is necessary to run the business — for example with a logistics provider to deliver a shipment, or with our accountants, auditors and public authorities where the law requires. Any such recipient may use the data only for that purpose.
6. Retention
We keep enquiry and correspondence data for as long as needed to handle your request and any resulting business relationship, and thereafter for the periods required by Ukrainian accounting and tax law. When data is no longer needed, we delete or anonymise it.
7. Your rights
Under applicable data-protection law you may ask us to:
- Confirm what personal data we hold about you and give you a copy.
- Correct data that is inaccurate or incomplete.
- Delete data where we no longer have a lawful reason to keep it.
- Restrict or object to certain processing.
To exercise any of these, write to [email protected]. We will respond within the timeframe required by law. You may also raise concerns with the competent Ukrainian data-protection authority.
8. Security
We apply reasonable technical and organisational measures to protect personal data against loss, misuse and unauthorised access, and we limit access to correspondence to the staff who need it to handle your order.
9. Changes
We may update this statement to reflect changes in our practices or in the law. The current version is always the one published here on olavia.store. Material changes will be reflected on this page.
